RecordBeacon is built by Scalable Technology Solutions LLC. This page describes what this website collects and what we do with it. The short version: very little, and none of it is sold or shared for advertising.

The booking form

If you book a walkthrough, we collect the name, organization, organization type, email address, and note you type. We use it to reply to you and set up your workspace. It is stored in our systems and is not sold, rented, or shared with anyone else.

The free Bates stamper

Files you add to the Bates stamper are processed entirely in your browser and never leave your computer. That page blocks outbound network connections, so we could not see your documents even if we wanted to. We do not collect anything about how you use the tool.

Analytics

We measure page visits with PostHog. On our marketing pages we also record how the page is used, so we can see where the writing is confusing and fix it. Anything you type is masked before it is recorded, so we never see what you entered into a form. The site keeps a small amount of data in your browser so one visit reads as one visit rather than as several strangers.

The free Bates stamper and the FOIA fee calculator are recorded not at all and store nothing. Those two pages block outbound connections entirely, which you can confirm in your browser's network panel.

Advertising measurement

Google and Microsoft advertising tags run on our marketing pages. If you arrived from one of our ads, the tag reports back that the ad worked. It does not include your name, your email, or anything you typed into the form.

Those pages set a first-party cookie that connects your click to your visit. It expires on its own. The free Bates stamper and the FOIA fee calculator set nothing on your device at all.

RecordBeacon workspaces

This section is about the product itself. Documents processed inside RecordBeacon workspaces are never used to train AI models, are processed under zero data retention agreements with our AI provider, and stay in United States regions.

When you open a workspace we collect your name, firm name, and email address to run your account. The application uses one session cookie to keep you signed in; it does nothing else. For security, sign-up and account events are recorded in an audit log along with the network address they came from. If you arrived from an ad, we record which ad brought you, never the contents of your documents.

A small set of providers helps us run the product: Amazon Web Services in United States regions for hosting, document storage, automated processing, and email; Stripe for billing, so card details never touch our servers; Google and Microsoft if you choose to sign in with them; and Google Workspace for our support mailbox. We do not sell your data, and no one else gets your documents.

You can delete your workspace and everything in it at any time from inside the application. Deletion removes your documents and account data from our active systems, and backup copies age out on our normal cycle. You can also email support@recordbeacon.com and we will delete your data within thirty days. Access to customer documents inside our systems is restricted to what operating the service requires, and those touch points are logged.
